Volunteer

Thank you for your interest in volunteering at the 2018 BIMA Bash! It’s amazing people like you that make this event possible and enable us to light up our community with art throughout the year.

The Auction will take place Friday, June 8th and Saturday, June 9th at the Bainbridge Island Museum of Art. Volunteering entitles you to a complimentary ticket ($75 value) to Friday event plus we will have a thank you celebration after the event for all of our volunteers.

After you have read the Roles and Descriptions below, please fill out an application HERE. Your Volunteer Position Preference should be Events and your Interests should be determined based on the positions listed below. Please list 3 interests. 

 

VOLUNTEER ROLES AND DESCRIPTIONS:

Below are the different opportunities available for volunteers at this year’s auction. Please READ FULL VOLUNTEER POSITION DESCRIPTIONS CAREFULLY before making your selection. Note the varying dates and times,  as well as positions that require previous experience.

ALL POSITIONS AVAILABLE

SHIFT TIME INFO: TBD FOR 2018 DATES PENDING FINAL RUN OF SHOW. INFO BELOW IS APPROXIMATE.

Position: Crowd Control & Ambassador
Positions to be filled: 10
Time: Friday 5:00 – 9:00 / Saturday 4:30 – 7:00
What: You will be the faces of BIMA!  Be prepared to greet and assist guests with questions and direct guests during specific times.  You will be given FAQ short sheets to assist with guest questions. 5 minutes prior to silent auction closings you will alert crowd with bells. Crowd Control will take place in various locations: Check-In area, upstairs and downstairs galleries, roaming, check-in line, etc. Must be comfortable engaging with guests, answering questions about event, walking throughout event spaces.

Position: Bartenders
Positions to be filled: 9
Time: Friday 5:00 – 9:00 / Saturday 4:30 – 8:00
What: You will be part of the most popular team of folks at the whole event… the bartenders! If you are pouring, please make sure to bring your MAST Certification.

Position: Raffle Ticket Sellers
Positions to be filled: 6
Time: Friday from 5:30-8:30 / Saturday from 4:45 – 7:00
What: Get dazzled up and help sell some tickets to win fabulous art and prizes! Sellers will engage with guests and answer any questions about our raffle. Ticket sellers must be comfortable engaging with guests in order to sell tickets. Some Ticket sellers will be roaming and others will be stationed at the Raffle station.

Position: Registration
Positions to be filled: 6 ALL POSITIONS FILLED
Time: Friday from 4:45-9:00 / Saturday from 5:00-9:30
What: Assist Finance Manager with registering (check-in/check-out) our guests at check in location. Friday the check-in table will be open longer for the larger crowds. Check in is located in the BIMA Bistro area. Some volunteers will be stationed at check-in tables and others will be equipped with portable iPads for a pre-registered check in line. Volunteers will be responsible for: welcoming guest, confirming guest name, checking them into auction software (Greater Giving), confirming their bid number on the supplied bid card.

Position: Art Handlers
Positions to be filled: 8
Time: Friday 6:00 – 9:00 / Saturday 5:30-8:30
What: Volunteers will be responsible for transporting art items throughout gallery spaces after the auctions have closed. Friday Silent Auction Closers will also assist with the Auditorium transition from entertainment location to packing area.
Requirements: Must be able to lift and transport heavy objects swiftly and cautiously through gallery spaces in specified time range.  

Position: Parking Attendants
Positions to be filled: 6
Time: Friday 4:30-7:30 / Saturday 4:00-6:00
What: The Gateway complex has limited parking locations (garage, out front, upper lot) and we must make sure guests are directed to the right locations. A select group of Saturday guests also have reserved parking in the garage. Volunteers will assist with directing cars to the designated locations by following BIMA’s parking plan.   

Position: Silent Auction Closers
Positions to be filled: 4
Time: Friday 6:00 – 9:00 / Saturday 5:30-8:30
What: As each silent auction closes collect the bidder sheets and return them to the registration area for processing. Then return to galleries to transport art to packaging location. Friday Silent Auction Closers will also assist with the Auditorium transition from entertainment location to packing area.
Requirements: Must be able to lift and transport heavy objects swiftly and cautiously through gallery spaces in specified time range.  

Position: Live Auction Spotters
Positions to be filled: 4
Time: Saturday 6:00-9:00
What: Auction spotters must have an acute awareness of any paddles raised during the live auction. Spotters will be stationed throughout the upstairs gallery to assist the auctioneer if he doesn’t see any paddles raised. Spotters should be available prior to event start time to meet with auctioneer for instructions.

Position: Set Up / Tear Down
Positions to be filled: **Lots of openings available**
Watch the magic unfold as we transform the galleries into a beautiful and lively atmosphere for this event! We will set tables, put up signage, set-up the bars, add razzle dazzle, and much more! Must be able to lift tables, chairs, and set-up equipment.
Shifts
Friday: 3:00pm – 5:30pm
Saturday: 10:00am – 5:00pm (various shifts available) / 9:00pm – 10:00pm
Sunday: 10:00am – 11:30am

 

ADDITIONAL INFORMATION
– All Volunteers must fill out background check prior to the event
– Teen Volunteer positions available for volunteer hours
– Friday Volunteers will be given bidder number for any auction bidding
– Saturday Volunteers are not eligible to bid on auction items without a pre-purchased ticket
– Volunteer orientation dates: Orientations will be held the week prior to the event.
